Project: Test automation of internal processes
Industry: agriculture sector
Task: Business analysis
Tool: SAP
Tool: Camunda
Tool: OBS Studio
Tool: Microsoft SharePoint
Tool: Microsoft Teams
A leading agricultural trading company in northern Germany planned to introduce UiPath technology, mainly to digitize and test existing SAP processes.
Specifically, tests of the SAP processes were to be carried out after release changes or when integrating new companies.
In the role of Business Analyst, I acted as a link between the agricultural company's staff and the RPA developers.
The main tasks included capturing and modeling the processes and process chains using BPMN: during regular coordination meetings with the SAP-MM, SAP-SD and SAP-FICO departments, information on existing processes was recorded via video recordings.
This capture specifically covered the individual steps when executing the transactions as well as any associated reversal processes.
This allowed analysis of objectives, stakeholders, steps, resources, and potential issues or bottlenecks.
The collected information was then documented to provide a clear understanding of process development.

Task: project management and coordination
Task: project analysis

Management and control of the process chain for the annual consumption billing in SAP for about 23 utilities (team of up to 30 people).
The annual consumption billing is the final invoice to the end customer, e.g. in electricity, gas, water, wastewater, and heat.
The actual amount of energy/services consumed is determined based on meter readings or a flat rate, and reconciled with the previously paid monthly advance payments in the final invoice.
The project implementation starts with creating conceptual documents for each municipal utility and customizing based on change requests, such as scheduling control in SAP IS-U.
The next step is capturing consumption so that the actual billing and invoicing for all municipal end customers can take place.
Finally, the invoice is printed and sent to the municipal end customers either on paper or by email.
At the end of the project, an optimization list is evaluated, documenting improvement suggestions and errors from the completed annual consumption billing, to initiate improvements for future billings.

Every day, it was necessary to create lists to use later for comprehensive evaluations.
Involved transactions:
IW73 – Order list processing
KOB2 – Line items -> Order line-item commitments
Y_D00_24000066 – Program budget / order budget / commitment / actual
Update Excel files
In transaction IW73, a variant was selected, followed by creating two lists in Excel format.
File names and the path were predefined, and specifying the correct file extension was required.
Similarly, in transaction KOB2 a variant was chosen and then two lists in Excel format were created.
Here, the file names and path were already set.
However, it was essential to consider the company code.
In transaction Y_D00_24000066, various budget lists were retrieved for the respective year and saved with file names and path specified.
It was required to transfer all created files to the client's server.

For this, about 1,500 customers had to be created in the client system by the end of November at the latest.
Involved transactions:
FPP1 – Create business partner
ES55 – Create connection object
ES60 – Create consumption point
ES30 – Create installation
The robot had to create the business partner data using transaction FPP1.
In the following steps, the connection object (ES55) and a consumption point (ES60) were created and extended using previously created templates.
Through transaction ES30, the installation was created, taking into account a reference date, the previously created consumption points, and the tariff types chosen by the customers.
Based on the previously created connection object and the consumption point, the device location was created.
Afterwards, a collection was scheduled and one or more containers were installed.

A client of the vendor wanted to automate entering meter readings into customer portals.
Starting situation: Meter readings from municipal customers were sent by e-mail to the customer center and manually entered into the customer portal.
Goal: Process automation.
The project scope included requirements gathering, feasibility study, and implementation.
The requirement was later extended to include archiving e-mails in the archive system.
Process: The data in customer e-mails was retrieved by the robot from the inbox via a secure connection and matched with master data in SAP.
If the data matched, the robot logged into the customer portal and entered the determined meter readings.
Afterwards, the retrieved e-mail was stored in an archiving system.
The project was fully implemented but had to be stopped due to too many input discrepancies from end customers.
Often the SAP master data did not match the end customer inputs, which led to frequent errors.

Based on the SAP EEG billing solution combined with IDEX-GENF, the client developed a billing solution for feed-in installations in IS-U.
In addition to the legal requirements for billing, the requirements of the Federal Network Agency (BNetzA) for data exchange among market participants and the requirements of the Federal Environment Agency were also taken into account.
The rollout of the EEG billing solution in IS-U applies to the feed-in installations.
In addition, a rollout of the data exchange processes for feed-in installations and HKNR under IDEX-GENF must be carried out.
Configuration of the reporting system for TSO notifications based on the SAP standard.
The cut-off date migration of the currently existing feed-in installations into the new data model should be completed by 01/01/2022.
The project scope included support in SAP EDM.
All constructs had to be checked, among other things, for missing profiles as well as missing or incorrect balancing units.
The results were provided to the client's customers for correction.
After going live, old balancing units and the balancing at the old measurement points had to be delineated to avoid possible double balancing.
Finally, a robot was implemented that removed the old devices in bulk.

A client of the customer planned to switch the EDM service provider on 01.01.2018.
Therefore, the EDM-specific market communication should be switched to the new provider by 01.12.2017, but no later than 01.01.2018.
Incoming messages from the market were to be provided by the customer on an internet-accessible SFTP server with certificate-based authentication and a storage area (separate subdirectories for test and production) for temporary storage of the messages.
The new EDM provider supplied the certificate needed for access.
Only messages currently routed to the external EDM were extracted from the emails and immediately stored as text files with the original filename on the SFTP server.
The new EDM provider retrieves the files from the SFTP server and then deletes the file on the server.
The new EDM system was responsible for responding to the messages (including CONTRL and APERAK messages).
Outgoing messages to the market were to be communicated by the new EDM system and EDIFACT documents to be sent were to be emailed (encrypted) to a technical mailbox of the customer (separate for test and production).
The customer extracts the EDIFACT documents from the email and forwards them to the email address of the market partner stored in the customer's central market partner database.
Market partner identification is based solely on the ILN of the recipient in the EDIFACT document.
The dispatch is thus carried out exactly the same way as messages sent from SAP.
(In the test environment, sending is suppressed.)
For outgoing CONTRL and APERAK messages, the message is linked to the original message.
All existing interfaces were deactivated at the request of the customer's end client, no later than 31.12.2017.

Project: Format change
Industry: Energy industry
Task: Test execution
Tool: SAP
Tool: Excel
Deadlines for the format change in market communication (MaKo) are April 1 and October 1 – all market participants are required to make the necessary changes to their IT systems and processes by these dates.
On the MaKo dates, energy suppliers or their service providers work twice a year to implement the requirements in a market-compliant way.
Market communication content includes, among others, the "Business Processes for Electricity Customer Supply" (GPKE), the "Market Processes for Electricity Generating Locations" (MPES), the "Switching Processes in Electricity Metering" (WiM Electricity) and the "Market Rules for Electricity Balancing Group Settlement" (MaBiS).
In addition, the EDIFACT specifications (Electronic Data Interchange for Administration, Commerce and Transport) and data exchange guidelines for writing and signing data formats must be followed.
Activities in the recurring projects mainly included test execution for the EDM specialist area.
The tested segments are usually electricity and gas.
Test execution is performed for the network and sales clients.
Activities included, among others, performing balancing, creating and changing profiles of different types (SLP, formula profiles), and updating existing profiles with new values.
Monitoring of weather data imports.
Assigning load profiles to a metering point.
Creating and changing balancing units.
Defining template profiles for balancing parameters.
Creating and changing selection variants.
Creating and sending balancing documents.
Monitoring import (electricity), including ZFA.
Creating and changing balancing areas.
Creating, activating, and changing MaBiS metering points.

Leading and controlling the process chain for the annual consumption billing in SAP for about 23 utilities (team of up to 30 people).
The annual consumption billing is the final settlement with the end customer in areas such as electricity, gas, water, wastewater, heat.
The actual consumed energy/service amount is determined based on meter readings or a flat rate and offset against the previously paid monthly installments in a final invoice.
The project implementation starts with creating conceptual documents for each utility and then customizing for change requests, such as scheduling in SAP IS-U.
The next step is consumption recording so that the actual billing and invoicing for all utility end customers can take place.
Finally, the invoice is printed and sent to the utility end customers either on paper or by email.
At the end of the project, an optimization list is evaluated, where improvement suggestions and errors from the completed annual consumption billing were documented to initiate improvement measures for upcoming billings.

Task: Recording consumption quantities in device facts.
Task: Test execution.
Task: Creating documentation.
Tool: Word
Tool: Excel
Tool: SAP
The processes for determining and billing surplus and deficit quantities in the electricity and gas segments were created as interactions between grid operators and suppliers for billing surplus/deficit quantities in standardized procedures and were to be created and sent as physical invoices to all suppliers per billing month.
The scope of tasks included, among other things, customizing and setting up an RTP interface, creating or extending existing master data for business partners, contract accounts, or contracts.
Generation of supply scenarios.
Creation of new balancing units and their assignment.
Generation of EDM profile values.
Creation of meter assignments in the profile roles.
The created constructs were checked and tested for accuracy before going live.
A test run of the entire process chain was carried out.
Each supplier was to receive a billing every month.
For this, the consumption had to be recorded in the device facts, billed, and test invoices created afterwards.
